How to Choose a Senior Trip Company: A Parent’s Checklist

The best senior trip company puts its own trained team on the ground at the destination, shares a clear team-to-student ratio, carries real consumer protection and liability insurance, holds recognized industry credentials, and tells you exactly what your payment includes. If a company can’t answer those five questions quickly and in writing, keep looking.

Below is the full checklist we’d want every parent to use, including when they’re vetting us.

Why choosing the right senior trip company matters

Your senior is heading out of the country, possibly for the first time without family, with a few hundred classmates. The company you pick decides who meets them at the airport, who is present for every event, who answers the phone at 2 a.m. in the event of an emergency, and what happens to your money if plans change.

There’s also a real difference between a travel agency and a tour operator. A travel agency typically books a flight and a hotel and steps back. A tour operator like GradCity builds and runs the whole program, with day and night events and a full team on the ground for the entire trip. That difference is worth understanding before you put down a deposit.

The 10-point parent checklist

1. Is there a professional team on the ground the whole time?

Ask: “Who is physically in the destination with my child, and when are they on duty?”

What a good answer sounds like: A dedicated onsite team that greets students at the airport, handles hotel transfers and check-in, runs a welcome orientation, attends every scheduled event from beginning to end, and is reachable around the clock.

How we do it: Our GradCity team serves as chaperones on every program. We’re at the airport, at orientation, and at every GradCity event, and our team roams the resort during designated hours. See the full breakdown in our Parent Center.

2. What’s the team-to-student ratio?

Ask: “How many staff members do you have per traveler?”

What a good answer sounds like: A specific number, not “plenty of staff.”

How we do it: We average one professional team member for every 30 travelers, one of the highest team-to-student ratios in the industry.

3. Is there 24/7 emergency support?

Ask: “If something happens at night, who does my child call, and how do they reach them?”

What a good answer sounds like: A 24-hour emergency line that works both at home and in the destination, and an easy way for students to find that number without searching for it.

How we do it: Every traveler gets a GradCity wristband with our 24-hour emergency number printed right on it. Parents can reach us in the U.S. and in the destination country at any time.

4. Is there a written safety program and code of conduct?

Ask: “What rules do students agree to before they travel, and do parents review them?”

What a good answer sounds like: Clear, written expectations that both the student and a parent or guardian review and sign before departure.

How we do it: Our BreakSmart program covers 10 guidelines every traveler follows, including the buddy system, always wearing the GradCity wristband, using only licensed taxis, no night swimming, no renting motorized vehicles, and a zero-tolerance drug policy. Every traveler and their parent or guardian signs our Code of Conduct before the trip, and students bring it to check-in.

5. How long has the company been doing this?

Ask: “How many years have you run senior trips, and how many students have traveled with you?”

What a good answer sounds like: A long track record with real numbers behind it.

How we do it: We have over 30 years of experience and have taken more than 300,000 students on their senior trip. Learn more about us here.

6. What credentials and memberships does the company hold?

Ask: “Which industry organizations are you accredited by or a member of?”

What a good answer sounds like: Recognized organizations you can look up yourself, with membership dates.

How we do it: GradCity is a member of the International Airlines Travel Agent Network (IATAN) for over 10 years, is approved by the U.S. Department of Transportation (DOT) for public charter operations, has been a Student Youth Travel Association (SYTA) member since November 2007, and has been part of the Better Business Bureau Care Program since September 2000. You can check any company’s rating directly on the Better Business Bureau website.

7. What insurance protects my payment and my child?

Ask: “What happens to my money if something goes wrong, and what medical coverage is included?”

What a good answer sounds like: Company-level consumer protection and liability coverage, plus traveler insurance that includes medical coverage.

How we do it: GradCity carries over $10 million in Consumer Protection insurance and $30 million in professional liability insurance. Travelers are covered by a standard Travel Guard plan that includes medical expense and emergency medical transportation insurance. Families who want extra flexibility can upgrade to our Premium Protection Plan with Cancel For Any Reason coverage, which reimburses 50% of eligible trip payments. Important: the upgrade has to be purchased within 14 days of your initial deposit. Full details are on our insurance page.

8. What’s actually included in the price?

Ask: “Can you list everything my payment covers, and what costs extra?”

What a good answer sounds like: An itemized list, not a vague “all-inclusive” label.

How we do it: Our Flight + Hotel packages include roundtrip group airfare, roundtrip airport transfers, hotel accommodations, assisted check-in and check-out, a welcome orientation, a full schedule of day and night events, our 24-hour onsite team, the GradCity wristband, government taxes and fees, access to exclusive excursions, an online account portal, and dedicated customer care. Optional excursions can be added depending on the destination. Everything is laid out in our FAQs.

9. Are the payment terms and cancellation policy clear?

Ask: “What’s the deposit, when is the final payment due, and what are the cancellation fees by date?”

What a good answer sounds like: Exact amounts and dates in writing, plus flexible ways to pay.

How we do it: Spring trip deposits start at $100, and you can pay in full, set up automatic monthly payments, or make manual monthly payments with reminders. Our cancellation fees are published by date in our FAQs and Customer Agreement, so you always know where you stand. Read more about why our payment plans make your senior trip easier.

10. How will the company keep parents in the loop?

Ask: “What will I receive before the trip, and when?”

What a good answer sounds like: A predictable timeline of communication so nothing is a surprise.

How we do it: Flight details are typically shared 1 to 2 months before travel. Our “Know Before You Go” email arrives 2 to 3 weeks before departure, and travel documents are ready to print 10 to 14 days before the trip. Parents can also travel with their senior on the same package, either joining the activities or vacationing independently.

Red flags to watch for

  • No specific staff ratio, or staff who only appear at “select events”
  • No emergency number, or one that only works during business hours
  • No written code of conduct for students and parents to sign
  • Vague answers about what’s included, or surprise fees after booking
  • No verifiable credentials or insurance details
  • Pressure to pay in full immediately with no clear cancellation terms
